Fill out this form if you are conversing with a visitor and they have a suggestion, complaint or comment. This form goes directly to Garry Janzen, Life Enrichment Coordinator.

Safety Plan for Receiving Visitors:

  1. READ the Menno Place Standard: Working Alone or in Isolation: SWP G5 (see principles below) – The most current version of all Menno Place policies are on Sharepoint and supercede any others.
  2. Principles from the Working Alone or in Isolation Standard:
    1. Employees who work alone must carry a phone on them at all times
    2. When an employee is working alone a nd encounters a resident of family member who, in the employee’s assessment has the potential to act in a threatening or aggressive manner, the employee will contact his/her supervisor and make arrangements for assistance. An incident report must be completed and submitted to the supervisor.
    3. In case of an emergency, when an employee feels threatened by an outsider or resident, call 9-1-1 to report the emergency.
    4. When an employee is working alone and is confronted with escalating behaviour of a resident, visitor or outsider which is not necessarily emergent, the employee will call our security company, Allegiance 1 to alert them that back-up may be required. The employee will phone the security company at 15 minute intervals until the situation is under control. Allegiance 1: 604.859.7565
  3. Pre-determine a safe place where you can go if you feel that you are not safe in your current location. This will usually mean entering the building.
  4. On the weekend, please call the Building Emergency (after 4pm): 604.217.4418 if you need another staff member present. You can also call the nurse on the unit to assist you. See phone numbers in the next column.
  5. Handouts are provided for visitors who are in disagreement with the Provincial Health Orders. Please provide this to the individual if they are seeking to engage you in a conversation or argument about the Provincial Health Order. Do not engage in conversation about vaccination. You may say that Menno Place is under obligation to follow the Provincial Health Orders.

1. Ask the visitor if they have proof of vaccination.

Use the BC Services Verifier app to verify if they are fully or partially vaccinated.

Unvaccinated or unwilling to share their status are not permitted to enter the building.

Partially vaccinated are required to do a COVID rapid test before entering. They may not enter the building without a negative test result. Give them the items for the test and the sheet of instructions. They can return to their car or use a bench outside to complete the test. Note the time. The test takes 15 – 20 minutes to complete. They may not enter prior to completion and must show you a negative test result.

Fully vaccinated are offered the opportunity to do a COVID rapid test before entering.

Supply visitor with medical mask and have them put it on.

  • Blue side faces out.
  • Pinch the metal around the nose.
  • Wear it high up on the nose and put glasses over top to prevent fogging.

Visitors may not wear any other mask within our building. If they refuse to wear the medical mask, inform them that they will not be able to enter to visit their loved one. Medical masks supplied by the care home are a requirement of the Fraser Health guidelines.

You do not have the authority to let them into the building without them wearing a medical mask. There are no mask exemptions.

Inform them that they must wear the mask for the full duration of their visit.

ESCALATION

Should the refusal escalate, ask the visitor to take a seat. Call the nearest nurse to provide assistance.

You can provide them with the phone number for the Director of Care/Manager of Community Enrichment. See right hand column for phone numbers. Do NOT give out these phone numbers unless the situation has escalated.

2. Active Screening of Visitor (before entering)

Visitor protocols are included in the Active Screening form. Read them to EVERY visitor and check all that apply.

3. If visitor agrees to comply AND passes screening, ensure that they complete hand-hygiene with you.

3. Do hand sanitizing hand hygiene together. Share these steps:

  • Apply a dose of hand sanitizer in the palm of your hand
  • Rub hands palm to palm and interlace fingers
  • Rub one palm over the back of your hand and interlace your fingers. Repeat on the other hand.
  • Rub backs of fingers to opposing palms.
  • Rub rotation around your thumbs.
  • Rub your fingers into your palm to get sanitizer under the nails.
  • Rub around your wrists.
  • Once dry, your hands are safe.

4. Provide directions to the unit

Simple directions are all you need – point the way to the unit and let them know if they need the elevator or not, etc.

5. Give them the information sheet

  • The information sheet shares the guidelines and expectations for their visit.

6. Wish them well!

Have a great visit!

7. After Visit

As the visitor leaves, ask them if they had a good visit. If they begin to share a concern, compliment or action that needs to happen, use the Record of Visit Online Form to ensure that their input is passed along to Garry Janzen, Life Enrichment Coordinator.

Visitation Host Tasks

Screen In

Use the link at the top right to do your own active screening at the beginning of your shift.

Put on your own PPE

  • Wear goggles (when required) and masks at all times with residents and visitors.
  • Change mask to a new one after your breaks.
  • Change mask to a new one if you are within 6 feet of a visitor who is not wearing a mask.

Clean visiting area and nearby common areas

  • Use Oxivir to spray all surfaces that may have been touched including tables, arms of chairs, chair seats
  • Allow Oxivir to sit for 60 seconds on the surface
  • Wipe with provided cloth and dispose of cloth (do not reuse)
  • Wash hands or sanitize hands
  • Whenever you have some free time, spray Oxivir in the elevator on high-touch areas such as buttons and railings

Welcome the Visitor

The visitor has been instructed to wait in a specific location for the Visitation Host to arrive. Greet them with a friendly greeting.

Ensure Visitor has a Mask

  • Ask the visitor to don their mask over nose and mouth. They must wear a medical mask provided by Menno Place, worn over nose and mouth.

Enter the Building

Ask the Active Screening and Guideline Compliance Questions

  • Ask the visitor the Active Screening Questions using the link on this page to record their answer in an online form.
  • If they say NO to all questions, proceed with entering the building.
  • If they say YES to any question, ask the visitor to return for a visit when their symptoms are resolved; they can call HealthlinkBC at 8-1-1 for further questions or concerns.

Explain Respiratory Hygiene

  • Explain that the visitor must cough or sneeze into their elbow with their mask on.
  • Demonstrate how to do this.

Remind the visitor of the Protocols

  • Remind the visitor to keep their mask over nose and mouth at all times unless they provide evidence that they have been double-vaccinated + 14 days.
  • Remind them that they must stay 6 feet away from all other residents, visitors and staff
  • Provide them with the Guidelines sheet.

FAQs

Yes. They are expected to be exercising infection control protocols with vigilance since they move between the two countries. Essential workers include truck drivers and healthcare workers.

No. The visitor must wear a mask covering nose and mouth. This does not need to be a medical grade mask.
