What is Com Vida and How Does it Affect My Work?

ComVida is an online scheduling system. In a few week’s time when this system goes live it will replace the current manual system our staffing offices use for scheduling shifts. It will help fill shifts on short notice (ie getting coverage when someone is sick), and give staff access to trade shifts in a more streamlined way. The system will be used by staff across all departments in all areas of campus with the exception of MBS staff.

ComVida does NOT replace Goldcare.

What Do Staff Need to Do This Week?

All staff, except for MBS staff, need to download the ComVida app before end of day on June 16th. You can find instructions on how to download the app and what to do if you don’t have a smart phone here: How to download the ComVida app.

Why do we need to download the app now?

It’s going to take some time to get our entire system up and running in the ComVida scheduling system. For now all you need to do is:

  1. Download the app and/or read the instructions on how to access it from a desktop computer.
  2. Log in to the app using the log in information below and reset your password.

During this time all current staffing practices and policies remain exactly the same. You will receive your schedule or shifts as normal and report any sick days using the current system. You can download the app, log in and forget about it until it’s time to train.

What happens next?

The next step will involve training for the staffing office staff to get them familiar with the new system.

How to Log In to ComVida

The first time you use the app you will sign in using your Username and Password.

Your username is the location code + your employee number. Our location codes are as follows:

  • MH for Menno Home
  • MN for Menno Hospital
  • AP for Menno Apartments

So for example, if Jane Smith is a care aide working in Menno Hospital and her employee number is 678 then her username would be MN678

All passwords have been temporarily set to: 12345 . Once you log in you will be taken to the CHANGE PASSWORD page where you can set your own private password.

The app will also ask you for this URL to access Menno Place’s account: https://scheduling.mennoplace.ca/menno/

  1. What if I don’t have a SMART phone?
    You can sign on using a desktop.
  2. Do I still need to sign in and out using the scanners at the start and end of a shift?
    Yes, continue to use the face scanner to sign in and out.
  3. Why are we moving to this software?
    This software will allow us to fill open shifts faster, allow individuals to trade shifts, and see their schedules on their phone. It will also allow us to help the staffing team by moving the scheduling process to an electronic system rather than a manual system. This change will streamline our processes.
  4. What if I don’t want to download the App?
    Shifts will be made available through ComVida, you will not be able to pick up shifts otherwise. If you have a regular line and you become ill, you can post your shift at any time of the day or night. Someone can pick up your shift, so your team won’t be working short.
  5. When is training available?
    We will keep you posted. Training times need to be determined. Look for communication on the website, on posters, ask P&C, or your manager.
  6. When will this system go live?
    Once training takes place we can go live. It will be an exciting time for Menno Place. We will give individuals time before going live.
