Confidentiality Notice: Use of PointClickCare, Point of Care & SeniorCare EMR Systems*

Subject: Maintaining Confidentiality in the Use of EMR Systems

This notice serves as a reminder of the importance of maintaining strict confidentiality and proper use of the PointClickCare (PCC), Point of Care (POC), and SeniorCare (SC) Electronic Medical Record (EMR) systems. As a user of PCC, POC and/or SC, you are entrusted with sensitive resident information and are legally and ethically required to always protect this information.
1. Authorized Access Only
- Access to PointClickCare, Point of Care, and SeniorCare is restricted to authorized personnel with unique login credentials.
- You must only access resident records and data relevant to your assigned duties and scope of practice.
- Sharing login credentials or accessing the system under another user’s account is strictly prohibited.
2. Patient Privacy
- Do not view or discuss resident information unless it is directly related to your role in providing care or performing required duties.
- Always ensure that computer screens are not visible to unauthorized individuals.
- Log out of PCC, POC or SC or lock your screen when stepping away from a workstation.
3. Data Security and Use
- Do not print, copy, or electronically transmit any information from PCC, POC or SC unless it is required for care and you have proper authorization.
- Any printed documents containing patient data must be handled securely, stored and filed appropriately and disposed of in accordance with privacy protocols.
4. Compliance with Privacy Regulations
- PHIPA refers to the Personal Health Information Protection Act, which governs the collection, use, and disclosure of personal health information
- All users must comply with PHIPA and applicable privacy laws, as well as organizational policies related to data protection.
- Breaches of confidentiality may lead to disciplinary action, up to and including termination of employment and potential legal consequences.
5. Reporting Concerns
- If you suspect unauthorized access, misuse of data, or a potential breach, you must report it immediately to your supervisor.
*PointClickCare and Point of Care are primarily used in our long-term care buildings. SeniorCare is used in the apartments.
