Dear Team,

In order to provide a safe and secure work environment, Menno Place is requiring all staff to complete the Violence Prevention Modules 1-8, if you haven’t done so already. This applies to ALL MENNO HOME STAFF, direct and non-direct care staff.

You can access and complete the modules on SURGE Learning.

If you’re unsure of your username or password, please contact Rachel Setka, HR Generalist, at Rachel.Setka@mennoplace.ca.

Steps to Complete the Training:

  1. Go to www.surgelearning.ca.
  2. Log in with your username and password, then click “Sign In.”
  3. Click on the Courses Library.
  4. Locate Health Employers Association of BC Violence Prevention (10) and click the “+” to expand the section.
  5. Modules 1-8 will be listed.
  6. Select a module. After completing it, click “I have completed this course.”
  7. Answer the “Course Completion Verification” question, enter your password, and click “Submit.”
  8. If there is a “test” icon, please complete the test to ensure the module is marked as complete.

No need to email your certificate to People & Culture – it will automatically be saved in your SURGE Learning profile.

How to Get Paid for 80 Minutes of Education Time:

You do not need to submit a form requesting paid education time. The People & Culture team will generate a report from Surge Learning on the following dates:

  • January 6, 2025: for education completed between November 14, 2024 and December 31, 2024.
  • April 3, 2025: for education completed between January 1, 2025 and March 31, 2025.

The final deadline for all staff to complete the modules is March 31, 2025.

Menno Hospital – No More Availability for Dec Vacation Requests

GoldCare Employee Portal Training

Dear Team,

As we roll out the new GoldCare Employee Portal across campus, we will be holding two training sessions for all staff. Please note the following details:

  • Sunday, November 17, 2024 at 10:00 AM – Menno Hospital Chapel
  • Monday, November 18, 2024 at 10:00 AM & 2:30 PM – Menno Hospital Chapel

Each session will last approximately 15 minutes. Please ensure you receive approval from your Manager/Supervisor before leaving the floor to attend.

All first choice vacation requests have been reviewed and either approved or denied dependent upon staffing levels for that day.

Second & Subsequent Vacation Requests:

  • 2nd and subsequent Vacation Requests must be submitted by December 07, 2024. This includes ALL remaining vacation hours for Menno Home & Apartments staff.
  • HEU members – A maximum of (5) days may be left unscheduled, BUT must be booked by August 1, 2025 (if not, Staffing will assign, and no changes are to be made)

Re: Update on 1st Choice Vacation Requests

Menno Hospital Staff’s 1st Choice vacation requests have been processed, and your portal has been updated accordingly.

Please log into your GoldCare Employee Portal to check the status of your first choice vacation requests.

To view your submitted requests, follow these steps:

  1. Log in to your Employee Portal on Goldcare.
  2. Click on “Personal Information.”
  3. Select “1st Choice Vac Requests”

Once in the “1st Choice Vac Requests” section, you’ll see all your submitted requests, both current and from previous years. Under the “Status” column, you’ll find whether your request has been approved or denied.

If your request is denied, it means we’ve reached the staffing limits for that period, and you’ll need to choose an alternative vacation time.

Important Note:
Please refer to your vacation balances listed on your pay stubs to check how many hours are available. Keep in mind that you may be entitled to more vacation hours than what’s currently reflected, as you accrue your full entitlement between July 1, 2024, and June 30, 2025.

It is your responsibility to monitor both the hours you’ve already booked and your available balance. This will help avoid unexpected issues, such as running out of vacation hours and needing additional LOAs.

Dress Up Day Contest Winners!

The winners of our Dress Up day contest are:

Team Prize: The Menno Home West 1 Minnie Mouses! The judges were impressed with how many staff participated in the costume. They were also delighted that the team extended the fun to the residents who asked to join in.

Individual Prize: Maricris Brownley as Wednesday Addams.

Prizes were delivered on Friday, November 8. Enjoy your treats! Huge thanks to everyone who dressed up that day. You brought smiles and laughter to us all.

MEMO Re: Long Weekend Sick Calls

Re: Long weekend Announcement Regarding Sick Calls

Dear Team,

In the past, we have noticed a pattern of increased sick calls over the long weekend, followed by staff working on the statutory holiday the next day. All staff scheduled to work during the long weekend are expected to report to their shifts as usual.

Due to this recurring pattern, we will require proof of illness/doctor’s note as per the Collective Agreement from anyone who calls in sick on November 9 & 10, 2024. Additionally, if you call in sick on November 10, 2024 and then come to work on the statutory holiday, November 11, 2024, an investigation will be initiated by your Manager with a Shop Steward and a doctor’s note is mandatory. Failure to comply will result in disciplinary action and a risk of no sick time pay.

We appreciate your understanding and dedication to our residents’ care. Adhering to these guidelines will help ensure smooth operations throughout the long weekend.
