This bulletin is to keep staff informed with the benefits transition to Pacific Blue Cross.

Benefits Transition

The Health Benefits Trust has advised the People and Culture team that they are in process of transferring benefit information from the previous carrier.

The effective date for coverage is September 01, 2025. While the transfer is being finalized, employees will need to pay for eligible prescriptions and services out of pocket. Please keep all receipts, as you will be able to submit them for reimbursement once the process is complete.

Action Required:

All employees currently enrolled in benefits must complete an Appointment/Change of Beneficiary form for Group Life and AD&D.

Forms are available in the Apartment kitchens, Wellness Centre and staff lunchrooms. Completed forms should be submitted by September 19, 2025 to People Culture – Attention: Lana Murray, Benefits Coordinator.

Next Steps:

We will share further details, including the new carrier contact information and instructions for submitting claims as soon as the transition is complete.

Retirement Severance – Menno Apartments

This bulletin serves as notification that under the CBA, staff are not entitled to a retirement severance.

Retirement Severance

Effective August 24, 2025:

  • Staff will no longer receive a retirement severance based on their period of service.
  • There will be no 40% payout for unused sick bank at retirement.

This bulletin is a reminder that as per Article 16.6 of the Communities Bargaining Agreement, any overtime hours banked must be used within 24 calendar weeks of being earned. Banked overtime hours not taken within that timeframe will automatically be paid out on the following pay stub.

For overtime hours banked on or prior to August 23, 2025 employees will have 24 calendar weeks from August 24, 2025 to use them. Any remaining hours not used by that date will be paid out in the next pay period.

Food Services – Job Fair

This bulletin is notice to the Food Services team of the timeline for the upcoming Job Fair at Menno Apartments.

            Date of Job Fair: September 22, 2025

            Location: Terrace East Boardroom (second floor)

            Time: See Seniority List with names and times

Rotations and seniority lists will be posted in the Primrose Gardens, Pavilion and Terrace Kitchen on September 2, 2025. Proxy notes will be available at the same time. The Job Fair does not include casual staff.

The Job Fair operates entirely on seniority so please note the time beside your name on the seniority list when you will be required to make your choice.

If you are unable to attend the Job Fair, you may submit your Proxy by email to Lana Murray at lana.murray@mennoplace.ca or drop it by her office in HR by September 15, 2025 at 4pm.

If you choose to attend the Job Fair on a day off, this time is not paid.  Do not be late for your allotted time as we will have to move on to the next staff as per the schedule and your choice may be taken. Please bring photo ID to the Job Fair for identification.

Failure to attend the Job Fair or submit a Proxy Note will result in a status change to casual. The date for the new rotations begins on or soon after October 05, 2025.

Discontining the use of the Biometric Hand Scanner – Menno Hospital

In October 2022 Menno Hospital team members were set up on the Facial Recognition Scanner.

If you are not yet set up on the Facial Recognition Scanner at Menno Hospital, please contact Jessy Manhas, HR Coordinator immediately to be set up.

Please note the dates for the first and second vacation request cut-off timelines for the year 2023 are postponed to the following:

  • 1st choice deadline: February 6, 2023
  • 2nd choice deadline: March 6, 2023

New schedules will be available to HCAs and Dietary team members by February 1st. Please DO NOT submit any vacation applications to the staffing office at this point unless you are requesting time off in January or February 2023.

We are hiring!

As we grow in number of team members at Menno Place we are finding we are hiring staff with similar names at different sites.  This can cause confusion as to who we, in Human Resources, are working with when we get emails from team members.

To ensure the proper documentation, leave requests, and emails are going to the right person, please record your Employee ID Number after your name in any email or paper documents you send to Human Resources.  This will help expedite your request and ensure we apply your request to the right person.
